2014 Advice on documentation requirements

  As part of our drive to improve efficiency we are now scanning all hard copy documents submitted to Port Health. We have noticed that we are receiving a significant quantity of duplicate documents and wanted to confirm the documents that we need to save effort and paper. The documents that are routinely required are detailed below
Documents required for controlled imports
  • Original signed CED/ CVED
  • Original certificates where required (e.g. health certificate, lab test certificate, Catch certification, Organic Certificate)
  • Copy bill of lading
  • Copy invoice
  • Copy packing list
For all other detained imports
  • Copy bill of lading
  • Copy invoice
  • Copy packing list
It would be really helpful if you submitted the documents in the order listed. We do not require duplicate copies of these documents. For some products (e.g. composite products) additional documents such as ingredient lists or production flowcharts may be required. We will let you know if we need more information.
Authenticated Copy Health Certificates
For CVEDs, if you require us to authenticate a copy of the original health certificate for your records; then you should submit a photocopy for us to authenticate. This must be an exact copy of the original i.e. if the original certificate is double-sided then copy should also be double-sided.  The copy must be clear and include all parts of the certificate.
